AGM understands that each of the documents that it stores represents an important link of its customers’ business; in Brazil, over all, there is an even larger risk due to the total complex legislation that obliges that tax, labor and administrative documents are kept for a determined number of years and, in case of loss, the consequences may be expensive. AGM disposes of special rooms free of humidity, plagues and insects, areas specially designed for keeping digital documents and applied high technologies, with 24 hour monitoring and maximum safety against fire.

The protection, indexation and the complete secrecy of documents are fundamental items in any AGM’s project. The proceedings for destruction of documents also obey the most rigorous safety standards, always according to the customer demand.


 


The AGM’s Document Management service is monitored by a totally automated system, especially target to document management, allowing customers to consult their inactive files quickly and in a safe way. The access to documents is centralized and available to be accessed and consulted at any time. The document may be delivered to the customer up to four hours from request. Physical deliveries meet the transport standards, with total tracking.

The AGM’s Management Program of Inactive File was developed in the VB language, with database in SQL Server and Windows NT network.


 


• Survey of Customer’s Needs:
Visit of technical team specialized in cataloguing and indexation of documents in order to follow up the workflow of documents, processes and boxes; design development to be presented and approved by the customer; withdrawal timetable and scheduling of transport developed and approved by the customer.

• Indexation:
Process that results in identifying the entire box documentation; it may be accomplished by AGM or by the own customer; it may be used in spread sheets or directly in our webpage.

• Storage:
Is made in reinforced steel shelves. AGM allows customers to opt by storage in their own boxes, even out of the usual standards, or in AGM standard triplex boxes, which will be supplied.

• Requests:
Requests may be made by internet, fax or e-mail, with the rigorous observation of all secrecy and confidentiality norms; in case of requests by fax, the requesters’ signatures will be checked; requests by internet are absolutely restrict, with users’ access limited and previously determined by the South America Risk Manager, following the customer’s determinations.

• Consult of Boxes:
Process in which starts the service to the customer. Through the categorization of several levels of customers’ access, “internal consults” may be accomplished (made inside AGM’s sites) or “external consults” (the customer requires the box and it is delivered in a pre-determined term); consults may be made per boxes and/or processes.

• External Box Consult:
Consults required by the customer for the sending of one or more boxes, using the AGM’s transport or the own customer’s , observing rigorously all secrecy and confidentiality norms and access restrictions.

• Consult by Internet:
Customers will be able to consult the database containing the indexation of their boxes through the AGM’s web page; besides, the system also allows the requirements of materials, withdrawals and indexation of boxes and/or documents..

• Document Digitalization:
AGM also offers the document digitalization service. With it, documents in paper are transformed into electronic files, being possible to be easily stored and consulted by internet, fax or e-mail remotely.

• Destruction of Documents:
This service may represent a great risk for the company, in case a high safety document is handled wrongly. AGM offers proceedings of destruction of maximum safety both in its sites and in outsourced companies. The shred or paper recycling value may be returned to the customer.
